A multilingual sales team should buy an email assistant that fits the approved inbox, handles its particular languages, and reliably preserves prices, promises and contact privacy—not the one with the longest generic language list.

Scope, date and evidence standard. A comparison of specific Gmail Help me write and Outlook Copilot drafting routes, checked against provider information by 25 October 2026. Language support is feature- and account-dependent; no independent writing-quality benchmark was run. Vendor statements below are sourced claims, not independent tests. AI 10 owns prices; unavailable comparability details remain unknown.

Evidence matrix

Candidate What the official documents establish What remains unknown
Gemini Help me write in Gmail Google documents draft creation and editing for eligible accounts, with a feature-specific language list including English, French, German, Italian, Japanese, Korean, Portuguese and Spanish. Precise eligibility for a particular Workspace edition or individual account/market and the output quality on this buyer’s terminology.
Microsoft Copilot drafting in Outlook Microsoft documents generating, adjusting and reviewing Outlook drafts on supported clients; a September 2026 Microsoft Copilot language matrix exists for work/school and other accounts. Whether a particular language/feature/Outlook client and purchased license combination is enabled for the team.

Separate prompts, drafting and translation from sending

A seller following up after a conference may want a new email in Spanish, a softer French version of an already approved quotation, and a German reply that mentions a shipping date. Those are different operations. An assistant’s ability to accept a French prompt does not prove that every Outlook or Gmail drafting button supports identical French workflows.

Make the first procurement artifact a sample approved offer with locked values: product identifier, currency, invoice jurisdiction, discount expiration and delivery timeline. The AI may adjust tone and greetings but may not alter the commercial facts without an explicit reviewer action. Send remains a human decision.

Gmail capabilities should be read narrowly

Google’s first-party Help me write documentation covers generating and refining draft emails. Its separate language guidance identifies a specific list for that drafting feature. The Gemini Gmail side panel has a broader list, but it would be an error to treat all side-panel languages as evidence of the same Help me write availability. Likewise, eligibility differs between supported Google Workspace/AI accounts and personal Gmail.

For a global agency, check the customer’s exact billing country and account class before choosing a license. A feature page that says global availability cannot be used to infer unrestricted availability for every personal account or new regional feature.

Outlook offers draft controls, not automatic procurement approval

Microsoft documents Draft with Copilot in Outlook across supported desktop, web and mobile clients, including changes to tone and length and a review step before sending. Its 2026 language-support documentation covers broader Microsoft Copilot experiences. The published list is useful evidence to start the test, but the language matrix is not an independent proof that every draft editor or specific Outlook build supports every language identically.

An organization using Microsoft 365 should ask IT to verify entitlement and the actual client version. Microsoft’s Outlook help also notes constraints when composing in plain-text format in particular Outlook interfaces. That operational detail can be more relevant to an email operations team than hypothetical benchmark scores.

Design a test that catches commercial errors

Use ten fictional customer records per target language. Include a deliberately ambiguous date, a comma decimal separator, a non-translatable brand, and a mandatory payment term. Three reviewers—sales owner, language editor and legal/commercial reviewer—score exact data retention, appropriateness of tone, attachment references and any unsupported claims.

Record input email, prompt, model feature, account class, locale, raw draft, edits and final approved message. Evaluate errors by severity rather than giving a made-up 1–10 quality score. The team should veto any tool that silently alters financial terms, even if its prose sounds natural.

Conditional recommendation

For a Gmail-native team whose required target languages appear in the documented Help me write list, pilot Gemini in the existing workflow first. For an Outlook-native team with established Microsoft administration, pilot Copilot in supported Outlook clients first, verifying language support for each feature and tenant. The reasons are workflow and permission fit, not an untested universal quality winner.

Request edition-specific pricing, storage and data-use terms for the chosen market and link those to AI 10 dated snapshots. If a language is absent or an approval path is insufficient, use a controlled translation-plus-human-review workflow rather than assuming a general chatbot can be an unsupervised sales agent.
