A meeting transcript is a corporate record. Moving from built-in Teams transcription to an external note-taking service changes policy ownership, the storage boundary and the language settings that must be tested.
Scope, date and evidence standard. Teams-centered international meeting use case assessed with Microsoft and Fireflies official documentation as of 25 October 2026. Exact plan, tenant, national availability, downstream retention and any local recording law are external procurement checks. Vendor statements below are sourced claims, not independent tests. AI 10 owns prices; unavailable comparability details remain unknown.
Evidence matrix
| Candidate | What the official documents establish | What remains unknown |
|---|---|---|
| Microsoft Teams native | Admins can control transcription permissions; Teams distinguishes live captions, meeting transcripts and Premium translated features, with records in Microsoft service storage. | Tenant policies, target language support for the actual meeting, license configuration. |
| Fireflies.ai external assistant | Vendor October 2026 guide documents many transcription languages, auto detection and a multi-language mode labelled beta. | Recording-bot settings, storage/processing terms, export permissions and accuracy under code-switching. |
Start from the Microsoft tenant
Teams administrators can configure whether an organizer and relevant users are allowed to transcribe. Microsoft documents the distinction between transient live captions and saved meeting transcriptions, which can carry speaker labels and timestamps. If the organizer is not permitted to transcribe, a shopping comparison that assumes the toggle is always available is already invalid.
Teams documentation also differentiates live translated captions and live translated transcription from basic features; some require Teams Premium. Avoid saying that a language shown in a general Microsoft AI list is therefore eligible for every meeting format or tenant. A procurement pilot must log its Teams policy and actual meeting license.
What an external service changes
Fireflies presents a separate transcription product, including a multilingual mode documented as beta in its October 13, 2026 language guide. That makes it a possible option for code-switching calls, but it introduces another place where participant audio and meeting metadata may be processed. The buyer needs a data-processing agreement or approved equivalent and a verified configuration for auto-join, transcript sharing, export and deletion.
Treat external calendar integration as a security boundary, not merely a convenience. Ask whether a meeting can be captured without the organizer taking an explicit step, whether the assistant can join outside-client calls, and who can delete the historical transcript after a customer asks for it.
Write the multilingual test before buying anything
Prepare a script with English, German and French segments, one sentence switching languages mid-stream, and the same names repeated by speakers with different accents. Capture the same consented recording through each permitted workflow. Have language-competent reviewers check lexical errors, speaker swaps, times and whether the summarizer invents decisions.
An objective trial records exact tool mode and processing settings; it does not extrapolate from a vendor language list to transcription quality. Support for a language means that the provider lists a mode, not that its accuracy, dialect control or medical/legal terminology has been independently validated.
Which buyer should start where
A Microsoft-only organization with stringent storage and admin-policy requirements should first establish whether native Teams capabilities satisfy the language and transcript-review requirements. Adding Fireflies when the native workflow already passes creates extra approval work. A multilingual organization running calls across platforms may instead consider an external notetaker, but should budget compliance and migration work alongside subscription costs.
For an international customer-success team, another trade-off is CRM portability: can the transcript and verified action items be exported in a machine-readable format without locking the organization into a proprietary summary? An attractive dashboard is not an exit strategy.
Acceptance gate and disclosure
Do not enable automatic recording across customer meetings by default. Require an owner, an explicit recording policy, external-participant notices, deletion tests, archive ownership and a local legal review. Time-stamp language/edition details when the organization selects a deployment.
This comparison offers a defensible decision method based on the cited provider documents and a test design; it does not claim an observed head-to-head accuracy result or a provider-wide regional compliance certification.
