The distinction between Slack AI and Gemini’s Workspace access is not primarily how friendly their answers sound. It is where the authorized evidence lives and what administrators let the assistant retrieve.

Scope: Global English buyer context as of 25 October 2026; exact regional and plan access are not assumed. Evidence: Vendor documentation, not independent hands-on tests. Editorial status: ready.

Slack as a conversational record

Slack documents AI answers backed by accessible messages and files, with clickable source citations. Its security guidance states that searches respect user access to channels and messages, so a user should not receive information from private conversations they cannot normally view. This is a vendor’s policy statement and not an independent security audit. Buyers should still test access revocation and citation behavior for their own workspace and plan.

Gemini as an application data workflow

Google states that Gemini’s access to Workspace data depends on both administrator restrictions and content-owner permissions. An authorized employee may be prevented from using Gmail and Drive information through Gemini even if they can open the same data directly in an app. This can be a desired control, not necessarily a product flaw. Treat connectors, Drive permissions and model-facing data access as separate configuration decisions.

Pick questions whose evidence location is known

Use five questions originating in Slack decisions and five in Drive documents. For example, “Who approved the release?” may be answered by a dated channel message; “What is the final regional disclaimer?” should use an approved policy document. Ask each product for the precise source, creation date and author. Flag outputs citing a discussion that predates a revised policy. The product should not synthesize an apparently confident answer when its authorized corpus lacks the requested record.

Testing authorization and stale data

Create permitted and restricted sample files, then change one user’s group membership. Check whether a search immediately respects that access boundary; do not test with production secrets. Remove a stale FAQ, ask the assistant to cite the current one and capture the age of the retrieved data. For Slack, verify whether links to a message open with appropriate permission. For Gemini, confirm both the active Workspace admin controls and document owner settings.

Implementation and ownership

An IT team must decide who administers each source system, manages retention, approves enterprise search connectors and handles employee concerns. If an answer combines chat conversations with policy PDFs, define which source class wins in a conflict. Avoid making AI the only place a decision is recorded. Capture citations to durable locations and require human review for finance, HR and legal decisions.

Buy according to system of record

Slack is a natural candidate when project decisions mostly reside in chat; Workspace-centered Gemini workflows fit teams whose approved information lives in Google documents and email. Both are conditional options, not objective winner claims. Plan, country and tenancy features must be confirmed, as must procurement and pricing from AI 10.
