The actual business decision
A project steering group holds a weekly meeting with employees and outside contractors. It wants action items immediately afterward. The operational failure to prevent is an AI summary declaring that a tentative target date became an approved contractual commitment. Meeting assistants can draft a record; they cannot confer authority on a speaker.
What the vendor documentation establishes
Zoom’s September 2023 announcement documents the AI Companion naming and a phased expansion of meeting-related generative features. Separate help articles describe host and administrator controls. Organizations still need to check the particular account and meeting settings, participant notices, and applicable recording or transcription practices. Avoid claiming that meeting summaries require or do not require recording in every configuration and location.
Build a permissioned source pack
For a pilot, distribute the meeting purpose, consent/notice method, expected agenda and list of participants entitled to receive the output. Assign a human chair and a secretary empowered to correct the minutes. Maintain a separate decision log with an owner, deadline and task-system identifier. Do not invite the assistant to meetings handling privileged legal matters or sensitive HR records until the information governance owner has assessed the workflow.
Step-by-step controlled workflow
Agree on note generation before a meeting and record dissent or exclusions under the organization’s policy. Afterward, ask the responsible person to classify each generated statement as discussion, provisional suggestion, decision or action. Compare due dates and names with the agenda and relevant part of the call. Resolve discrepancies with the affected participants. Publish a corrected list of actions in an access-controlled project space and retain the approved record according to existing rules.
Adversarial and exception tests
Create a controlled exercise in which an external contractor proposes a deadline, the chair says “we will decide later,” and another participant offers a different owner. The expected summary should not assert a firm commitment. Test a name that sounds like another participant’s and a late reversal of a decision. A speaker attribution error is material even if the rest of the recap reads well.
Measures that reflect accepted work
Measure misassigned actions, incorrect deadlines, proposals mislabeled as decisions, participant complaints and time to approve minutes. Count meeting summaries that never reach the approved record. Review at least one difficult multilingual call if the organization plans cross-language adoption.
Historical, region and contract caveats
A 2023 press release documents the AI Companion rollout milestone, not universal current entitlements. Per-country privacy requirements and participant notice or consent rules may differ; obtain a legal review where required. No saving percentage or recording-law guarantee is inferred.
Illustrative action-item ambiguity
Imagine a participant says that legal can probably review a draft by Thursday. Another says the customer needs an answer Friday, but nobody confirms the request. An automated summary might produce ‘Legal will approve on Thursday’. The corrected minutes should instead say ‘Legal review requested; owner and deadline not yet confirmed’. The chair asks the named reviewer before issuing minutes. This hypothetical failure test illustrates why human verification belongs between transcript and task tracker.
Handoff package
Use an action register with speaker-verification status, action owner, deadline basis, recipient permissions and correction history. Record any participant objection to AI processing according to the governing meeting policy. When summarization is disabled, the appointed secretary can keep the same decision-versus-discussion structure without relying on a recording or external transcript.
Decision point: should this pilot expand?
Expansion requires a signed scope, a sample of hard cases independently checked by the process owner, verified access controls, and a documented fallback. The original business record must remain authoritative. Compare the AI-assisted method with a conventional template, rules engine or manual review process using identical accepted-output criteria. If the assistant cannot preserve evidence, make its limits visible to customers or meet a sector-specific duty, stop the pilot rather than hiding the limitation in a generic disclaimer. These are proposed operational tests, not claims of hands-on platform performance.
