Atlassian Rovo: search, chat and organizational knowledge without losing permissions

An AI answer about a project is useful only when it reflects the correct Jira issues, current Confluence pages and the reader’s actual access.

An AI answer about a project is useful only when it reflects the correct Jira issues, current Confluence pages and the reader’s actual access. Rovo links Atlassian’s search and conversation surfaces to connected workplace content, but its answers should be treated as a route back to the original record rather than as a substitute for it.

Product: Atlassian Rovo · Lifecycle review: documented current product

What this is — and who should use it

Rovo primarily serves teams whose working context is scattered across Jira, Confluence and connected SaaS applications. Its Search, Chat and Studio components are distinct: Search helps people locate records, Chat supports synthesis, and Studio is for building more specialized workflows. The agent-security and orchestration reference covers agent autonomy and execution details; this guide covers the employee discovery experience.

A real-world decision workflow

Suppose a project manager asks why a launch date slipped. Start with Rovo Search to find the relevant Jira issue, decision document and supporting discussion. Compare owners, statuses and timestamps before switching to Chat to request a concise timeline. Open the answer citations and check whether the latest approval changed the plan. If separate connected tools disagree, keep both records visible rather than accepting a single blended narrative.

Onboarding, access and deployment

Workplace administrators enable AI for eligible Atlassian cloud products, confirm connector permissions and choose which connected sources should be indexed. Users can then access the search and chat interfaces within supported products. A worker without the same Jira or third-party source rights should not be presumed able to reproduce a colleague’s answer; permissions and indexing freshness shape what each person sees.

Capability limits and unreliable assumptions

Atlassian states that Rovo reflects the content available in connected systems, not necessarily the whole public web. A stale connector, moved document or overly broad file share can change the result. In addition, Search and Chat are not interchangeable: a natural-language summary can omit exceptions that a filtered source list reveals. The ability to act through Rovo agents is not a blanket entitlement for every account or job role.

Privacy and security boundaries

Rovo documentation says connected-app access controls are synchronized and that Chat history is retained for 30 days under the described experience. Treat those statements as the vendor’s product description, not a guarantee that every enterprise deployment has identical deletion, eDiscovery or retention arrangements. Security reviewers should test a revoked user’s access, connector sync delays, index exclusions and cited-file visibility.

Exports and switching costs

Use source-of-record exports from Jira, Confluence and connected apps for durable archives. A Rovo-generated recap is not the underlying record of approval. Save verified output alongside links and dates rather than attempting to use a conversational transcript as a complete migration format.

When an alternative is better

Choose Rovo when the real problem is organizational knowledge dispersed across Atlassian work. Consider Glean or Microsoft’s work-grounded Copilot when the center of gravity is a different business ecosystem. A single static document set may be better handled by a document-specific assistant instead.

Pricing, language and regional availability

No plan pricing or universal entitlements are asserted here. A feature documented for one deployment, market or device is not automatically available elsewhere. Check the provider’s dated pricing and local support documentation; the separate dated pricing archive should hold historical price snapshots.
