Fathom meeting capture: the live-call restriction that matters

Fathom records supported live video meetings and produces summaries from their transcripts.

Fathom records supported live video meetings and produces summaries from their transcripts. The important workflow distinction is explicit in its documentation: you cannot simply upload an arbitrary old recording for Fathom to summarize.

At a glance

Good for: sales; customer success; small teams. Known application surfaces: Zoom; Google Meet; Microsoft Teams; web dashboard. Typical inputs and outputs: live-meeting audio/video; transcripts; meeting summaries; MP4 export.

These are product-level descriptions as of the editorial cutoff, not guarantees for every geography, workspace, device or subscription. Specific pricing, usage limits, model builds and enterprise contract terms are deliberately omitted unless independently established for the applicable tier. Current price and usage assumptions require a separately dated plan comparison against the vendor’s terms.

How to use it effectively

Before enabling Fathom across a calendar, decide which meetings should be eligible for recording. Its settings distinguish all meetings, only internal or external meetings, and no automatic recording. Test the default sharing policy as carefully as the recording option: summary-only, summary-and-recording, or neither. At the end of a call, review the recap for inaccurate numbers or commitments and copy the revised summary into the official CRM or project ticket.

Capabilities and deployment context

Fathom’s help center says it captures live Zoom, Meet and Teams calls, and an August 2025 article explicitly says uploaded external calls were not supported. A September 2026 article documents MP4 recording download, while October 2026 guidance explains automatic sharing options and recipients. These are dated operational facts, not promises that a future roadmap item is already live.

Practical limitations

An external MP3 or recording archive is not currently an input substitute for a live meeting under the cited Fathom policy. Calendar guests can receive an auto-shared summary even if they did not attend, according to Fathom; this is a notable accidental-disclosure risk. Use a test event with dummy participants to verify configuration. AI meeting highlights should be corrected against the actual conversation.

Privacy, access and portability

Meeting owners control whether summary and/or recording are automatically distributed. The attendee list may include people absent from the meeting, so privacy review must include invitations as well as the video-call roster. Recording and sharing require consent wherever applicable. An exported MP4 remains a separate sensitive copy under the user’s control.

Who should choose it instead of an alternative?

Choose Fathom for a workflow built around supported live meetings, not a historical audio upload queue. Fireflies has a documented upload pathway, and Otter offers live notes and export workflows. Team choice should be driven by call platform, sharing defaults and records policies.

A sensible first evaluation

  1. Choose one real but non-sensitive task with a checkable expected outcome.
  2. Record your account region, active workspace, product mode and evaluation date; do not infer a model version from the brand.
  3. Compare the response with the original document or primary website, paying particular attention to figures, exclusions and contradictory sources.
  4. Test how to edit, share, export and delete the result before building a recurring workflow around it.
  5. Revisit permissions and product release notes before expanding to proprietary information or wider teams.
