Google Gemini Apps: files, connected services and data boundaries

Gemini Apps is Google’s general conversational AI experience, distinct from the Gemini model family and the source-bounded Gemini Notebook product.

Gemini Apps is Google’s general conversational AI experience, distinct from the Gemini model family and the source-bounded Gemini Notebook product. Its usefulness rises when users already work with Google services, but the connected-data rules deserve as much attention as the answer quality.

Product: Gemini Apps · Developer: Google

These are product-level descriptions as of the editorial cutoff, not guarantees for every geography, workspace, device or subscription. Specific pricing, usage limits, model builds and enterprise contract terms are deliberately omitted unless independently established for the applicable tier. Current price and usage assumptions require a separately dated plan comparison against the vendor’s terms.

How to use it effectively

Start in the Gemini app with a narrow task: turn a document into a questions list or draft an outline before asking for a final deliverable. When providing PDFs or spreadsheets, ask Gemini to identify exactly which file supports a proposed answer. If a task involves email or Drive material, confirm the relevant Connected Apps are available and authorized before enabling access. Keep separate copies of the files that matter; a reply that draws on a connected service is not the same thing as updating that service.

Capabilities and deployment context

Google confirms the February 2024 rename from Bard to Gemini. The current help documentation covers file upload and analysis, with availability dependent on account type and administration. Personalization and connected services can add context, but also create a less obvious data trail: disconnecting a service does not necessarily delete activity Gemini has already recorded. Gemini model release details belong in the model and API reference, and image-generation mechanics belong in the image-generation reference.

Practical limitations

Region, language, workspace and plan determine which integrations or file categories appear. A tool may answer from general knowledge when an intended app connection is unavailable; explicitly request source attribution to notice this. The ability to upload a file does not establish error-free OCR or calculation. For sensitive personal material, prefer a minimized excerpt, and check whether your administrator controls retention if you use a school or work identity.

Privacy, access and portability

Gemini Apps Activity has its own retention and deletion settings for personal accounts; Google separately describes administrative controls for Workspace identities. Connected apps keep data under their own policies, and removing Gemini activity does not remove copies in other Google services. Audit what is connected, what is kept in activity, and what may be used for product improvement before exchanging confidential text.

Who should choose it instead of an alternative?

Use Gemini Apps for general assistance integrated with the Google account ecosystem. Choose Gemini Notebook when you want a reproducible body of selected documents and inspectable source citations. Microsoft 365 Copilot is a more natural first stop when the business record lives chiefly in Microsoft 365.

A sensible first evaluation

  1. Choose one real but non-sensitive task with a checkable expected outcome.
  2. Record your account region, active workspace, product mode and evaluation date; do not infer a model version from the brand.
  3. Compare the response with the original document or primary website, paying particular attention to figures, exclusions and contradictory sources.
  4. Test how to edit, share, export and delete the result before building a recurring workflow around it.
  5. Revisit permissions and product release notes before expanding to proprietary information or wider teams.
