Using Atlassian Rovo With Correct Confluence and Jira Permissions

An engineering support group searches Jira incidents and Confluence runbooks through Atlassian Rovo.

An engineering support group searches Jira incidents and Confluence runbooks through Atlassian Rovo. The most relevant document may be a private postmortem written by security staff, and a connector may index a much larger workspace than the support group anticipated.

The business decision before the prompt

First inventory the upstream ACLs, index scope and connector owner. A search-layer claim to respect permissions does not absolve teams from correcting overbroad source sharing. Give operational search, restricted investigations and third-party connector access distinct approval paths.

What the vendor actually documents

Atlassian documents permission-aware retrieval and the data-indexing considerations of third-party connectors. This describes the vendor’s documented capability; it is not an independent evaluation. A quoted help page is not a complete SKU, geography, contractual-retention or historical-release verification.

A practical, bounded implementation

Draw a source map with each Jira project, Confluence space and connected repository, including group rights and external sharing. Prepare paired test identities—one with standard support permissions, one with incident-response rights. Ask both the same synthetic but realistic question about a resolved outage. For each answer record source URL, visible snippet and whether the underlying source can be opened by the testing identity. Review index-refresh lag when a permission is revoked. If a connector indexes the whole workspace, document explicit scoping or blocklist controls before authorizing it.

The audit artifact

For this pilot, the acceptance record should be inspectable without reopening the entire chat history. Capture the source version, request scope, responsible reviewer, exception description and final business disposition. Where a decision changes a customer, employee, supplier or system record, keep the source-of-truth change in the authorized business application. This is a proposed governance method; no product integration has been implemented or tested for this article.

Failure rehearsal: what must not pass

Place a malicious instruction in a page body telling the assistant to reveal a secret token; it is untrusted content and should never become a system instruction. Try a group-rights change shortly before search and a private incident with a public-sounding title. A passing demonstration from an administrator account is not evidence for ordinary users.

Stop conditions and escalation

Stop the pilot when a reviewer cannot establish the exact governing evidence, source eligibility or accountable sign-off for this case. Preserve the unresolved issue as a visible exception instead of turning uncertainty into an affirmative statement. A team may choose a manual process when the approval burden makes automation uneconomic; the technology is not entitled to a production role merely because it can produce a plausible paragraph.

Evaluation and full operating cost

Count unauthorized discoveries, stale-permission windows, inaccessible citations, unresolved ACL exceptions and time to repair misconfigured connectors. Report separate results for each connector. A single overall “Rovo accuracy” percentage would hide the difference between relevant answers and authorized answers.

Build total cost of ownership from dated contract charges where verified, plus integration, source cleanup, training, reviewer labor, exception handling, access administration, error correction and a retirement path. Record numerator and denominator for every rate before the trial. Never substitute vendor-reported benchmarks, generated word count or invented minutes saved for measurements from the actual organization. Compare with an appropriate non-AI baseline and review both ordinary and exception cases.

Availability, alternative and handoff

Atlassian’s Rovo guidelines discuss connector indexing and synchronized access controls. Exact retention and availability must be checked against the chosen connectors, geography and contract; the business evaluation here does not replace an the agent-security and orchestration guide system-design audit.

A simpler alternative remains an approved template, ordinary search, a controlled spreadsheet or a human-written decision log, depending on the case. Product catalogs, comparison methodologies, dated pricing snapshots and agent architecture require separate validation. This business guide covers acceptance and oversight, not proof that a feature is enabled in any particular tenant.
