A customer-success team is tempted to use Grammarly Business to rephrase client renewal emails. The dangerous failure is a polished sentence that promises the wrong service level or removes a qualification, not a visible typo.
The business decision before the prompt
Keep an approved claims card beside the style guide: service availability statements, contractual obligations, response-time commitments, exclusions and regulator-required notices. Decide which email types allow automated rewriting and which require owner approval before sending.
What the vendor actually documents
Grammarly support documents administrator-controlled generative writing access for business workspaces. This describes the vendor’s documented capability; it is not an independent evaluation. A quoted help page is not a complete SKU, geography, contractual-retention or historical-release verification.
A practical, bounded implementation
Pick ten anonymized renewal drafts spanning standard updates, complaints and disputed entitlements. Store the source email’s contractual claims as locked reference text. Use writing assistance for grammar and clarity only; compare each proposed output to the locked statements. Editors classify a change as style-only, factual, scope-changing or legally sensitive. Route scope-changing cases to the account owner; route required notices to a compliance reviewer. Archive the reviewed final message and a change summary with the customer record.
The audit artifact
For this pilot, the acceptance record should be inspectable without reopening the entire chat history. Capture the source version, request scope, responsible reviewer, exception description and final business disposition. Where a decision changes a customer, employee, supplier or system record, keep the source-of-truth change in the authorized business application. This is a proposed governance method; no product integration has been implemented or tested for this article.
Failure rehearsal: what must not pass
The source says “aims to respond within one business day”; a fluent rewrite says “guarantees a reply within 24 hours.” That is a material change even if grammar quality improves. Test a multilingual message where informal politeness distorts an escalation obligation.
Stop conditions and escalation
Stop the pilot when a reviewer cannot establish the exact governing evidence, source eligibility or accountable sign-off for this case. Preserve the unresolved issue as a visible exception instead of turning uncertainty into an affirmative statement. A team may choose a manual process when the approval burden makes automation uneconomic; the technology is not entitled to a production role merely because it can produce a plausible paragraph.
Evaluation and full operating cost
Count meaning-changing suggestions, missed qualifications, correction loops, send-time after review and recipient follow-up disputes. A lower grammar error count cannot compensate for false contractual promises.
Build total cost of ownership from dated contract charges where verified, plus integration, source cleanup, training, reviewer labor, exception handling, access administration, error correction and a retirement path. Record numerator and denominator for every rate before the trial. Never substitute vendor-reported benchmarks, generated word count or invented minutes saved for measurements from the actual organization. Compare with an appropriate non-AI baseline and review both ordinary and exception cases.
Availability, alternative and handoff
Grammarly’s official team documentation describes administrative control over generative writing access. It does not establish that every feature, prompt retention or approval workflow is identical across regions or contracts.
A simpler alternative remains an approved template, ordinary search, a controlled spreadsheet or a human-written decision log, depending on the case. Product catalogs, comparison methodologies, dated pricing snapshots and agent architecture require separate validation. This business guide covers acceptance and oversight, not proof that a feature is enabled in any particular tenant.
